Project Summary

Procurement units of medium and large-sized businesses in Turkey still work with Excel files and email chains. This leads to problems such as budget overruns, delayed approvals, lost documents, and inability to measure supplier performance. Suppbuy was born out of this need: a modern SaaS platform that brings the entire procurement process together in a single panel, offering smart approval and budget management.

Key Features

🎯 Total Budget Control

Unit-based monthly budgets are defined. In case of budget overrun, the system automatically blocks the process; it can only continue with the approval of the upper management. Real-time budget health is monitored via the dashboard.

🔐 Hierarchical Approval System

Multi-level approval flow based on amount. Routine requests below the specified limit are automatically progressed, while high-value strategic purchases are made with the approval of upper management. The approval chain can be customized for each customer.

🛒 Products and Services on a Single Platform

Both physical product purchases and technical service/hiring are managed through a single interface. There is no need to use a separate system for different process needs.

⚡ Fast Supply Mode

A special mode that comes into play in cases of production downtime or urgent needs. It shortens the approval process and guarantees the fastest quote and delivery from the supplier pool.

📊 Supplier Performance Tracking

Each supplier is scored on delivery speed, quality, and price. The supplier pool is continuously optimized based on past performance data.

📋 Zero Document Load

Service providers' OHS certificates, insurance policies, and legal documents are stored centrally in the system. Manual document verification is eliminated at the start of each job.

Architectural Approach

Suppbuy was designed as a multi-tenant SaaS. Each company can configure its own user hierarchy, budget items, and approval rules independently. Hierarchical approval flows are modeled with the state machine principle — each request progresses through clear states like "created → awaiting approval → collecting quotes → purchasing → delivery" and each transition is recorded in the audit log.

For performance, product catalogs and frequently used supplier data are cached with Redis; notifications, email sending, and report generation are delegated to async queues via BullMQ.
